The Multi-Template Insert feature allows users to apply multiple templates to an existing project in a single action, making it easier to build comprehensive projects by combining predefined project structures and information.
When applying templates, users can choose which elements from each template should be copied to the project, including:
Unlike project creation, where only a single template can be selected, the Multi-Template Insert feature allows users to apply multiple templates after a project has already been created.
To use this feature, once the project is created, multiple templates can then be applied using the Multi-Template Insert feature to extend and customize the project.
Please note:
Before using the Multi-Template Insert feature, ensure that your Salesforce System Administrator has completed the required configuration steps outlined in the Admin Guide - Insert Multi-Template Feature.
Once the feature has been configured, users can apply multiple templates to existing projects based on their assigned permissions.
The Multi-Template Insert feature allows users to add multiple templates to an existing project, providing a quick and efficient way to expand project structure and content. This section explains how to select templates, configure which elements should be copied, and apply multiple templates to a project.
A dialog window opens, allowing you to search for available project templates. Enter a template name or keyword in the search box, then click Search.
Inspire Planner returns a list of templates that match the template name or contain the keyword entered.
Select the template you want to apply and click Add Templates.
Repeat the search and selection process until you have added all templates you want to apply to the project.
The order in which templates appear in the Added Templates section determines the order in which they are applied to the project. To control the application order, add templates one at a time in the sequence you want them applied.
After selecting the templates you want to apply, choose which elements from each template should be copied to the project.
The available options include:
* Include Custom Non-Working Days – Copies the non-working days defined in the template to the project. * Include Project Teams – Copies project team members from the template to the project. * Include Risks and Issues – Copies Risk and Issue records from the template to the project. * Include Change Requests – Copies Change Request records from the template to the project. * Include Other Custom Objects – Copies related records from supported custom objects associated with the template to the project. * Include Files – Copies files attached to Project Task Chatter feeds, as well as files available in the project’s Files related list, from the template to the project.
Click Save to begin applying the selected templates to the project.
A confirmation dialog appears prompting you to close the project before the templates can be applied. Click Close Project to proceed.
Once the project is closed, Inspire Planner will begin applying the selected templates and copying the configured elements to the project.
An asynchronous job runs in the background to apply the selected templates to the project. You must wait for this process to complete before continuing to work on the project.
You will receive an email notification once the template insertion process is complete. We recommend waiting until the process has finished before opening the project or making any changes to ensure all selected template elements are applied successfully.
If the project already contains tasks, tasks from the applied templates are added to the bottom of the existing project schedule. After the templates have been applied, you can reorder tasks as needed using drag-and-drop functionality in the Gantt Chart.
After the selected templates have been applied to the project, review the following considerations to understand how template elements are added, scheduled, and applied to the project.
Tasks from the applied templates are inserted at the bottom of the existing project schedule. If needed, you can reorder tasks using drag-and-drop functionality in the Gantt Chart to ensure tasks are positioned correctly within the project hierarchy.
Tasks from the applied templates are automatically rescheduled based on the project’s scheduling settings:
This rescheduling only occurs when the project start or end date is populated. If sysProjectStart or sysProjectEnd is blank, the tasks will not be automatically rescheduled.
When applying templates, Inspire Planner prevents duplicate records from being created.
If the project or any of the selected templates already contain the same:
duplicate records will not be created.
If Add as Collaborator is set to TRUE on a project team record and the resource is a Salesforce User, a Collaborator record is automatically created for that user on the project.
The Collaborator record uses the collaborator permission specified in the project team record.
Project settings are not copied from the applied templates. The existing project settings remain unchanged.
This includes settings such as:
Review the project settings after applying templates to ensure they are configured appropriately for the project.
If the project already contains non-working days, or if you selected the option to copy non-working days from the applied templates, project tasks are recalculated based on the updated non-working day schedule.
Task recalculation also considers the project’s existing scheduling settings. After the recalculation is complete, you must save the project to retain the updated schedule.
After templates have been applied, review any copied information to ensure it is still relevant to the project, including:
Make any necessary updates to ensure the project contains accurate and current information.
As a best practice, review the project structure after applying templates to ensure that inserted tasks are positioned correctly within the task hierarchy.
You should also review task dependencies and make any necessary adjustments to ensure the project schedule accurately reflects the intended workflow.
