Project Calendar View

    The Project Calendar View provides users with an alternative way to visualize and manage project schedules. It allows users to switch between the Gantt Chart and Calendar View without leaving the project, providing a unified view of project tasks and appointments in a time-based calendar format.  
     

    The Calendar View helps users gain greater visibility into upcoming project activities by displaying Project Tasks and Appointments together. Users can review schedules, navigate through different timeframes, manage appointments, and filter calendar entries based on the information they need to view.  
     

    This guide explains how to access the Project Calendar, navigate calendar views, manage appointments, and use the available features to effectively track and coordinate project activities.

     

    Please note:

    The Project Calendar View is only available in the Gantt Lightning Web Component (Gantt LWC).

     

    Switch to Calendar View

    The Project Calendar can be accessed directly from the Project page by switching from the Gantt Chart to the Calendar View. The view switcher allows users to seamlessly move between the two schedule views.  
     

    When switching to Calendar View:

    • The Gantt Chart is replaced with a full calendar displaying Project Tasks and Appointments.
    • The active view is highlighted to indicate whether the Gantt Chart or Calendar View is currently selected.
    • The selected calendar timeframe and focused date are remembered when switching between views.
    • Returning to the Gantt Chart restores the previous Gantt state, including selections and unsaved changes. 

     

     

    Users can switch between Day, Week, Month, Year, and Agenda views directly from the Calendar View.

    Select the desired timeframe:

    • Day – Displays activities scheduled for a single day.
    • Week – Displays activities across a weekly timeframe.
    • Month – Displays activities across a monthly timeframe. This is the default calendar view.
    • Year – Provides a high-level view of project activities across a full year.
    • Agenda – Displays activities in a chronological list format.

     


    The selected calendar view is remembered when navigating between dates, refreshing the page, or switching between the Gantt Chart and Calendar View, allowing users to continue working from their preferred schedule view.

     

    Navigate Between Dates in the Project Calendar

    The Project Calendar provides several options for navigating through project schedules and viewing activities across different dates. Users can quickly move between time periods, return to the current date, or select a specific date to focus on.

    To navigate the calendar:

    • Use the Previous and Next buttons to move backward or forward based on the selected calendar timeframe.
    • Click Today to return the calendar view to the current date.
    • Use the Date Picker to select a specific date and quickly navigate to that point in the project schedule.
    • Use the calendar date switcher on the left to quickly jump between dates.

     


    The Project Calendar supports multiple timeframe views, allowing users to adjust the level of detail displayed when reviewing project activities. The selected date and calendar timeframe are remembered when switching between Calendar and Gantt views, allowing users to continue where they left off.

     

    Understanding Calendar Entries

    The Project Calendar displays two types of entries:
     

    Project Tasks

    Project Tasks are displayed on the calendar based on their scheduled start and due dates. Tasks provide a read-only reference of the project schedule and cannot be edited directly from the Calendar View.  
     

    From the Calendar View, users can:

    • View Project Tasks alongside Appointments.
    • Hover over a task to view additional details such as status, % complete, task dates, and assigned resources.
    • Review updated task dates after making schedule changes in the Gantt Chart.  


    To make changes to Project Tasks, users must return to the Gantt Chart.


    Appointments

    Appointments are displayed alongside Project Tasks and can be created and managed directly from the Calendar View. Appointments allow project teams to schedule meetings, bookings, and other project-related events without leaving the project schedule.  
     

    Users can:

    • Create new appointments.
    • Edit existing appointments.
    • Move appointments by dragging them to a different date.
    • Resize appointments to adjust their duration.
    • Delete appointments from the calendar. 

     

    Create an Appointment

    To create an appointment:

    1. Navigate to the desired date in the Calendar View and create a new appointment using one of the following options:

      - Double-click the desired day or time slot to open the Appointment editor.
      - Right-click the desired date or time slot and select New Event.


       
    2. The Appointment editor opens with the selected date and time populated, allowing you to enter the appointment details.



       
    3. The Appointment editor allows users to specify:

      Name
      Enter a descriptive name for the appointment. This name identifies the appointment on the calendar and helps project team members quickly understand the purpose of the scheduled activity.

      Related Record
      Select the project or specific project task that the appointment is associated with. This allows users to link the appointment to the relevant project or project task record for easier tracking and reference.

      Owner
      Select the user responsible for the appointment. The Owner field determines who the appointment is assigned to and identifies the person responsible for managing the scheduled activity.

      The Owner picker displays project team members available for selection. For existing appointments, the current owner remains available even if they are no longer assigned to the project team.

      Start Date and Time
      Specify when the appointment begins. Select the date and time that the appointment is scheduled to start.

      End Date and Time
      Specify when the appointment ends. The end date and time determine the duration of the appointment displayed on the calendar.

      All-day Event Option
      Select the All-Day Event option when the appointment does not require a specific start and end time. All-day appointments are displayed in the all-day section of the calendar rather than within a specific time slot.

      Click Save to create the appointment.


     

    Edit an Appointment

    Appointments can be updated directly from the Calendar View.

    To edit an appointment:

    1. Open the appointment from the Calendar View by double-clicking the appointment entry or by right-clicking the appointment entry and selecting Edit.

    2. The Appointment editor opens, allowing you to review and update the appointment details. 

      Click Save to save your changes.


       
    3. Users can also drag and resize appointments directly within the Calendar View. Any changes made by moving or resizing an appointment are automatically saved to the associated Salesforce Event record.
       

      For all-day appointments, users can adjust the duration by dragging the side of the appointment entry across multiple dates.

       


    Delete an Appointment

    To delete an appointment:

    1. Double-click or right-click the appointment.


       
    2. Select Delete and confirm the deletion.

      Deleting an appointment removes the associated Salesforce Event record.


       

    Filter Calendar Entries

    The Calendar View allows users to control which types of entries are displayed.

    The calendar sidebar provides filters for:

    • Tasks
    • Appointments  


    To filter calendar entries:

    1. Select or deselect the checkboxes for Tasks and Appointments.


       
    2. The calendar updates to display only the selected entry types.

      For example:
    • Deselect Tasks to view only Appointments.
    • Deselect Appointments to view only Project Tasks.  
      •  

    The selected filter settings are retained when navigating dates or refreshing the calendar.  


    View Entry Details

    Users can quickly review calendar entry details without opening the record by hovering over an entry.


    Hover details include:

    Project Tasks

    • Task name

    • Status

    • % Complete

    • Scheduled dates

    • Assigned resources
       

    Appointments

    • Appointment details and scheduled timeframe  
       

    This allows users to quickly review project information while navigating a busy schedule.

     

    Refresh Calendar Data

    The Calendar View includes a refresh option that allows users to reload calendar information when needed.

    Refreshing the calendar:

    • Reloads calendar data.
    • Maintains the selected timeframe and filters.
    • Updates displayed appointments based on the current calendar range.  

     

    Best Practices

    • Use the Gantt Chart when making changes to Project Tasks, dependencies, or project schedules.
    • Use the Calendar View when reviewing upcoming activities, coordinating appointments, and gaining a calendar-based perspective of the project timeline.
    • Use filters to focus on specific activities when reviewing busy project schedules.
