Using Batch Create Process

    Your organization might have project templates and projects that are very large and contain hundreds of rows. This can potentially cause time out errors when applying templates to projects or when cloning projects.

     

    There are two (2) settings in Inspire Planner that determine how tasks are created in new projects when a template is being applied and when a project is cloned using the Save As feature. They are:

    • Use Batch Create Process
    • Batch Save Size

     

     

    Use Batch Create Process

    This is a checkbox field that can be added to your project page layout and is primarily used in project templates. When this is set to TRUE on a template and the template is applied to a project during or after project creation, it creates tasks in batches according to the value in the "Batch Save Size" custom setting.

     

    If there is no value in "Batch Save Size", tasks are automatically created in batches of 200. This means that instead of all tasks being created all at once, it will create tasks in batches according to the batch save size. This prevents the process from timing out.

     

    The "Use Batch Create Process" only impacts template inheritance and does not apply to the Save As function.

     

    1. In your project template, go to Details.


       
    2. Scroll through the page and look for Use Batch Create Process and set it to TRUE. Then, click on Save.

     

    Batch Save Size

    This is a custom setting that allows you to define the number of tasks that are created in each batch. If this custom setting is blank, then it creates tasks in batches of 200. If you are encountering time out errors when applying templates to projects or when cloning projects using the Save As function, then we recommend setting the batch size to a number lower than 200.

     

    Template Inheritance

    When "Use Batch Create Process" is set to TRUE on a template, then tasks are created in batches according to the value in "Batch Save Size". If this setting is blank, it defaults to 200 records per batch.

     

    Save As Function

    When cloning projects using the Save As function, Inspire Planner looks at the value in the "Batch Save Size" custom setting and creates tasks in batches according to the value in this field. If this setting is blank, it defaults to 200 records per batch.

     

    Define Batch Save Size

    You will need to be a Salesforce System Administrator to complete the steps below as it requires access to Salesforce Setup.

     

    1. Click on the Gear Icon in the top right corner and go to Setup.


       
    2. Enter "Custom Settings" in the Quick Find box and click on Custom Settings.


       
    3. Click on Manage beside Inspire Planner Config.


       
    4. Click on Edit.


       
    5. Enter a value in Batch Save Size and click on Save. We recommend setting a value that is less than 200.
