Configure Roles for Project Tasks and Project Teams

    In order for Inspire Planner users to be able to use the Role field on Project Tasks and Project Teams, you will need to set the field visibility for the Role field in both the Project Task and Project Team Objects. The Role picklist can also be customized to contain your preferred values. This help article will show you how to configure the Role field.

     

     

    Customize the Role Picklist Values

    This section will walk you through how to customize the values you see within the Role picklist.

     

    1. Click on the Gear icon at the top right corner and go to Setup.


       
    2. Enter "picklist" in the Quick Find box at the top left and click on Picklist Value Sets.



       
    3. Click on Role.


       
    4. In the section labeled "Values", you will see the existing picklist options. From here you can add new values by clicking on New. To remove a value, you can either delete or deactivate it. If you would like to specify the order of how the values appear in the picklist, click on Reorder.

     

    Set the Role Field to be Visible

    If do not see the Role column in the Project UI or do not see the Role field when adding Project Team members, you will need to review the field visibility for the Role field in both the Project Task and Project Team objects.

     

    In Project Task Object

    This section will walk you through how to set the field visibility for the Role field in the Project Task Object.

     

    Please note:

    The Role Field in the Project Task Object is scheduled to be deprecated as part of the Feb 2025 Major Release. Therefore, we recommend migrating to Multi-Role in preparation for deprecation. For more information, please see Admin Guide - Migrating from Role to Multi-Role.

     

    1. In Setup, go to Object Manager.


       
    2. Enter "task" in the Quick Find box at the top right and click on Project Task.


       
    3. Go to Fields & Relationships. Enter "role" in the Quick Find box at the top right and click on Role.


       
    4. Click on Set Field-Level Security.


       
    5. Select "Visible" for all profiles and click on Save.

     

    In Project Team Object

    This section will walk you through how to set the field visibility for the Role field in the Project Team Object.

     

    1. In Setup, go to Object Manager.


       
    2. Enter "team" in the Quick Find box at the top right and click on Project Team


       
    3. Go to Fields & Relationships and click on Role.


       
    4. Click on Set Field-Level Security.


       
    5. Select "Visible" for all profiles and click on Save.

     

    Add the Role Field to the Project Team Page Layout

    Now that you've configured the Role picklist to include the values you need and have made the field visible, you will need to make sure it is part of the page layout for Project Team so that you can specify a role when you add Project Team members.

     

    1. In Setup, go to Object Manager.


       
    2. Enter "team" in the Quick Find box at the top right and click on Project Team


       
    3. Go to Page Layouts and click on Project Team Layout.


       
    4. Drag the Role field to your desired area on the page and click on Save.
