Printing your project in Inspire Planner is quick and easy. When you print a project, it is first exported as either a PDF or PNG file. You can then print a physical copy, share the file electronically, or insert the image into presentations and other documents.
The print feature allows you to customize how your project is displayed before exporting. For example, you can select which columns and rows to include, choose the paper size and orientation, and define the Gantt chart date range to focus on a specific portion of your project timeline.
This article walks you through the steps to configure your print settings and export your project for printing or sharing.
Please note:
To print the project plan, click on the Print Project Plan icon located in the Project Toolbar.
A Print Settings dialogue will display where you can set your print preferences.Note: To simplify the print workflow and align the behavior across components, several print settings have been standardized as part of Inspire Planner's MAR 2026 Major release, and unnecessary options have been removed from the print dialog.
Select which project columns to include in the printout. Custom fields can also be selected.
Specify the paper size for the printout.
Choose between Portrait or Landscape (default).
When enabled, a header is displayed at the top of each page. The header includes your Company Logo, Project Name, and Project Manager (Owner).

Choose which rows to include in the printout.
Select the portion of the project timeline to include.
Automatically set to Multiple Pages (Vertical). If the project cannot fit on a single page, it will be split across multiple pages. The system automatically adjusts the task list columns and Gantt chart to fit vertically.
Select the export format.
Once you've specified your print settings, click on Export. Inspire Planner will then export the project in the format you chose (PDF or PNG). You will be prompted to download the file and save it into a local folder.
It is possible to only print the task list or the Gantt Chart.
To print only the task list and not the Gantt Chart, simply close/hide the Gantt chart before clicking on the Print Project Plan icon. You can hide the Gantt chart by clicking on the Hide Gantt Chart icon. When the Gantt chart is hidden, then Inspire Planner ignores the Gantt Chart Range setting in the Print Settings dialogue.
To print only the Gantt chart and not the task list, simply close/hide the task list before clicking on the Print Project Plan icon. You can hide the task list by clicking on the Hide Task List icon in the project toolbar. When the task list is hidden, then Inspire Planner ignores the column setting in the Print Settings dialogue.
If you don't want to display the task subject beside the task bars in the Gantt chart, you can choose to hide them by clicking on the Hide Task Subject icon in the Gantt Toolbar. This will hide the task subject in the Gantt chart and will also exclude it when printing projects. Do this before you click on the Print Project Plan icon.
